Customer paying with a credit card on a contactless terminal

Every declined card at checkout is a customer who wanted to pay you and couldn’t. Some declines are unavoidable. A surprising share are self-inflicted — and fixable in an afternoon.

Soft declines vs hard declines

A hard decline is permanent: closed account, stolen card, invalid number. Retrying does nothing and repeated attempts look like card testing to your processor. A soft decline is temporary: insufficient funds, a velocity limit, an issuer’s fraud model twitching. These can succeed on a later attempt — and they’re where recovered revenue lives. Treating both the same way is the most common mistake in checkout design.

What actually causes avoidable declines

A retry policy that works

  1. Never retry a hard decline. Ask for a different card instead.
  2. Space soft retries out. Days apart, not minutes — and cap the total attempts.
  3. Time them around payday patterns for consumer subscriptions.
  4. Tell the customer. An email saying the card failed recovers more revenue than any automated retry schedule.

For subscription businesses this is the difference between healthy retention and quiet, invisible churn — the pattern we covered in recurring billing for high-risk businesses.

When the problem isn’t the customer

If approval rates dropped suddenly across the board, stop optimizing checkout and call your provider. Sudden industry-wide declines usually mean something changed on your account: a risk review, a category reclassification, a volume cap you didn’t know existed. That’s a conversation, not a configuration change.

Give the bank fewer reasons to say no

Approval rates improve when the whole setup looks coherent to an issuer: a recognizable descriptor, sensible AVS rules, updated cards on file, and an account underwritten for what you actually sell. At Creditcard Payment Services we configure card processing and gateways with exactly that in mind — plus ACH and eCheck as a second lane for the customers cards keep failing.
