A good month should not break your payments. But for merchants who hit an undisclosed ceiling, that’s exactly what happens — transactions start failing, or funds stop arriving, in the middle of your best week of the year.
The limits sitting on your account
- Monthly volume cap — the total you’re approved to process in a month. Usually set from the projection on your application.
- Per-transaction ceiling — a maximum single sale. Painful for anyone whose average ticket varies.
- Velocity limits — caps on transactions per hour or per card, mainly there to stop card testing.
- Daily settlement limits — a ceiling on what funds in one day, which delays deposits rather than declining sales.
Most merchants never see these numbers. They live in the approval terms, and you discover them the day you exceed one.
What exceeding one actually looks like
Rarely a clear error message. More often: transactions declining for no obvious reason, deposits pausing, or a risk-review email asking for documentation before funds release. If approval rates fell off a cliff overnight and nothing on your site changed, a cap is among the first things to check — before you start debugging checkout declines.
Get ahead of it
- Ask for your current limits in writing. All four of them. Today, not when you need them.
- Warn your provider before a promotion. A heads-up with expected volume usually prevents the review that a surprise triggers.
- Request increases with evidence — processing history, a low dispute ratio, and the campaign or contract driving the growth.
- Apply with realistic projections. Understating volume at application to look conservative is what sets the cap too low in the first place, as covered in the application checklist.
- Build headroom before you need it. Limits are raised on demonstrated history, which takes months you won’t have in peak season.
Seasonal businesses need this most
If most of your year arrives in a few weeks, a cap set against your average month is guaranteed to fail you at the worst possible moment. Tell your provider the shape of your year at application, not in November. Banks can accommodate seasonality when they know about it in advance and almost never when they don’t.
